This is the privacy policy of Maes. Our company details can be found in Article 3 below.
We take your privacy very seriously. Therefore, we take all appropriate measures to protect your personal data in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR).
This policy applies to the processing of your data by MAES in the context of its services. This privacy policy explains, among other things, which personal data we process, how we do it, why we do it, what rights you have, and with whom we may share your data. We try to inform you about this as transparently as possible. We recommend that you read this policy carefully. For questions or requests, you can always email privacy@maesmobility.be.
This policy does not cover the privacy policies, statements, or terms of third parties nor any websites referred to via hyperlinks on our website.
We may change this privacy policy at any time. Therefore, please consult it regularly. The amended privacy policy will be announced on our website.
This privacy policy is subject to Belgian law. Only the courts of Antwerp (Mechelen division) have jurisdiction in the event of a dispute.
Who is responsible for processing your data via the website?
We (Maes). We are the so-called ‘data controller’ to use a technical term. This means that we determine the purpose and means of processing and are responsible for the lawful and correct processing of your data via our website.

What data do we process about you and how?
Maes may process the following data about you. We do not necessarily process all personal data mentioned in this paragraph, as this will depend on the service you use with us.

- User login on Satellic (toll)

- Camera images near the gas station (images are only viewed in case of damage and are only shared with the police)

- Maes can receive your data directly from you or indirectly via a third party.
- Directly:
- Because you provide them via the contact form on the website, by phone, or in writing;
- When you request a quote;
- (whether or not online) orders via the website for fuel oil, lubricant, or grease;
- The use of the website via cookies (see our cookie policy).
- Indirectly:
- Via XXImo, the issuer of the Milo app you use together with the Maes Mobility Card;
- Via partner gas stations where you refuel with the Maes Fuel Card;
- Via your employer when you – as an employee – use a company fuel card. If you wish, you can get a list from us of which companies have access to your data.
Why and on what basis do we process your data?
MAES processes your personal data for:
- Contact, information, and inquiries:
- We process your personal data via the website to contact you, process any questions you may have, and provide you with the necessary information and details about our company, products and/or services, our website, or other information related to our services or activities. The processing of your data for these purposes is based on our legitimate interests insofar as they outweigh your (privacy) rights or interests. If you do not provide certain data, such as your identification data, it may be possible that we cannot contact you (again), provide information, or deliver products or services.
- Customer management – the delivery of our products and/or services:
- We process your personal data to manage our customer files, prepare quotes, execute and follow up on orders, as well as for administration, invoicing, and accounting. When you use our fuel cards, we process the services used (such as a gas station, charging station, toll road, etc.) via our invoicing system to send you a clear invoice. If you use the Maes Mobility Card, data will be exchanged with XXImo Holding BV. They are the data controller for the use of their Milo app. You can consult their privacy policy on their website: https://www.xximo.com/be-nl/. We have concluded a processing agreement with them to adequately secure all exchanged personal data. The aforementioned processing is necessary for the preparation, conclusion, and execution of the agreement(s) with you as described therein (if you are a natural person). We may also process personal data of certain individuals in the context of the agreement with your company based on our legitimate (commercial) interests in the context of the cooperation/agreement (e.g., representatives, your employees, or staff).
- Direct marketing:
- Your data may be used for direct marketing. This includes sending information about our products and services or other information that may be of interest or useful to you via our newsletter or other means. If you provide us with your phone number via the web, you may be contacted by our company regarding information about our products and services or upcoming events. If you are a customer of ours, this can be based on our legitimate interests to undertake, which may outweigh your (privacy) rights or interests. If you are not a customer of ours, we need your prior consent (e.g., by subscribing via our website). Your consent is voluntary and can be withdrawn at any time. If you wish for us to no longer process your personal data for direct marketing purposes, you always have the right to object (unsubscribe or oppose such processing), free of charge and without giving any reason (see also Article 9.3 below). - Ensuring optimal operation of our website:
- When you visit or consult the website, we may process certain electronic data, such as cookies and IP address (see Article 4.1 above). Cookies facilitate the interaction between you as a visitor and our website and are used to improve the user experience and collect statistics among visitors to our website. Cookies also ensure that your personal settings and preferences are stored or that image and sound material can be played. - The possible transfer to our partners, service providers, suppliers, and/or other contracting parties of Maes such as our web manager or hosting provider for the execution of the above points.

- We may process your personal data in the context of compliance with legal obligations, e.g., fiscal or social obligations of Maes at the request of authorities or agencies (e.g., the tax authorities or police). The processing of your data, whether or not on or via the website, is not subject to so-called ‘automated individual decision-making’ or profiling.
Who else receives or processes your data (besides MAES)?
- Your data is also processed by our partners, service providers, or suppliers with whom we collaborate in the context of the website, e.g., our web manager(s), hosting provider(s), and/or IT partners, who only process your data in the context of your visit and use of the website.
- We are not responsible for the processing of your data by third parties who do not do so on behalf of Maes but are themselves responsible for it.
- Maes may be required to provide or process your data based on a legal obligation resting on it and/or at the request of supervisory authorities or government agencies.
Are your personal data transferred outside the EU/EEA?
Your data is not transferred outside the EU/EEA.
How long do we keep your data?
We will not keep your data longer than necessary for the purposes described above in Article 5, unless specific legal provisions apply to the retention or processing thereof. In any case, the principle always applies that we do not keep your data longer than necessary. If your personal data is no longer needed for the intended purposes, we will delete or anonymize it as necessary.
What are your rights?
You have the right to information about the processing of your data. This is communicated to you via this privacy policy. You can also always request us to provide additional information.
You have the right to request us to:
- Access your data. You can receive one copy of the requested information free of charge. If you request additional copies, we may charge you a reasonable fee as an administrative cost.
- Correct your data (if necessary);
- Delete your personal data if:
- The processing of that data is no longer necessary for the purpose or purposes for which it was processed by us;
- You have withdrawn a previously given consent;
- You object to the processing by us;
- The personal data was unlawfully processed by us;
- This is necessary to comply with a legal obligation; or
- The personal data was processed in connection with an offer of online services to children.
- Restrict the processing that concerns you. You have the right to obtain a restriction of processing if you:
- Dispute the accuracy of the data we hold;
- The processing is unlawful, and you oppose the deletion of the personal data and instead request the restriction of its use;
- We no longer need this data while you still need this data for the establishment, exercise, or defense of legal claims; or
- Pending an answer to the question of whether Maes’s legitimate grounds outweigh yours or your (privacy) rights if you have objected to the processing based on our legitimate interest.
- You have the right to object to the processing of your data. You can object to the processing of your data for direct marketing purposes at any time and free of charge. This can be done easily by letting us know via privacy@maesmobility.be and/or via unsubscribe on our website. This can also be done via the mailings themselves (at the bottom, there is always the option to unsubscribe). You will then no longer receive newsletters from us.
- You have the right to data portability (to another data controller). This is only possible if the processing by us is based on your consent or the processing is carried out by automated means.
- If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time.

- The exercise of your rights, as set out above, is always subject to the requirements and conditions as determined in the applicable legislation (such as the General Data Protection Regulation (the so-called ‘GDPR’)).
- For the exercise of your rights, you can simply send a request to Maes at privacy@maesmobility.be. You must adequately identify yourself. When we have reasons to doubt your identity, we may ask you for additional information necessary to confirm your identity. We will usually ask for a copy of your identity card to verify who is actually making a request. You should ensure that all information or data not necessary for verification and confirmation of your identity is blacked out or otherwise removed or made unreadable.
